Which means the work starts with the process, not the tool. Automating a broken workflow gives you a broken workflow running faster and with less visibility — and a boring, stable manual process is a far better candidate than an exciting one that changes every month.

Three stages, in this order. The sequence is the part that matters.

Map the process as it really runs
Not the documented version — the actual one, including the workarounds people invented. The map alone usually surfaces steps that can be deleted outright, which is cheaper and more reliable than automating them.

Automate the stable parts
Lead routing, data hygiene, reporting, and the handoffs between tools that were never designed to talk. We automate what has settled and leave what is still changing alone, because an automation that needs rewriting every month costs more than the manual step it replaced.

Keep a human where judgement lives
AI is genuinely good at triage, drafting, classification and summarising. It is unreliable where a wrong answer is expensive. We put review steps at those points deliberately, and build in monitoring so a silent failure surfaces instead of quietly running for weeks.

Will this replace part of our team?
That is not usually what we are hired for. The work targets the tasks that stop skilled people doing the job you hired them for — copying between systems, chasing status, rebuilding the same report. If your goal genuinely is headcount reduction, say so early so we can be honest about whether this supports it.
What should we not automate?
Anything still changing shape, anything where a silent wrong answer is expensive, and anything that happens rarely enough that the build will never pay itself back. We would rather talk you out of two of five candidate workflows than deliver five fragile ones.
Which tools do you work with?
Whatever you already run, wherever that is reasonable — the major CRMs, help desks and workflow platforms, plus custom integrations where no off-the-shelf connector exists. Starting from your existing stack is almost always cheaper than a migration dressed up as a solution.
